Reporting
You can use the built-in analytics to see the number of enquiries you have, the closure rates for different channels where enquiries originate, the sales colleagues with the most conversions and much more besides. You therefore always have an overview of how busy your sales department actually is, how many offer enquiries there are and which phase they are in. With a little practice, you can make precise predictions about how much business awaits you. Reporting is currently only available for certain roles.
Procedure
You can access the reporting via the link on the enquiry list at the top right of your profile.
The reporting contains 4 menu items, including various tabs, the Contacts profile and a link to the Contacts program, as well as various filters.
Period
In the overview, enquiries are analysed by creation date.
The period analysis for offer/brochure/sample enquiries is not based on the creation date of the enquiries, but rather on the “active period”, i.e. how many enquiries are active or have been completed in the selected period. For example, an offer enquiry created in 2023 that was processed in 2024 will be visible in the selected reporting period “Year 2024”.
Available filters
- Organisational unit: The organisational unit determines the group in which a user is hierarchically arranged in the organisation.
- User: The person currently responsible for processing enquiries.
- Dealer partner: The dealer partner currently responsible for enquiries.
- Country: The country where the building address of the enquiries is located.
- Status: The status of the sales and consulting process for enquiries.
- Type: Selection of whether an enquiry was processed internally (within the Contacts program) or externally (by e-mail) by dealer partners.
- Studio visit: Selection of whether or not a studio visit took place during the sales and consulting process.
- Area: The area of the person responsible for processing enquiries.
- Origin: The origin channel of the enquiries.
- Referrer: The last website visited by the contact before the enquiry was made on the finstral.com website.
- Enquiry type (overview): The type of enquiry (currently 10 different enquiry types are available, e.g. offer, sample, brochure, CAD data, etc.).
Overview
The “Overview” menu item contains an overview of all enquiries by enquiry type and creation date together with the associated data.
Offers
In the second menu item, “Offers” we analyse the offer enquiries. The first tab deals with the completion rate by number and value.
The first bar of the chart shows the number of all enquiries for offer in the selected period. The second bar of the chart shows the number of offers issued, cancelled offer enquiries and offer enquiries that are still open. The third bar of the chart contains the number of all orders, cancelled offers and open offers. The fourth bar of the chart shows the value of the offers or orders and is only displayed per client, i.e. Finstral can only see the values of its own direct sales organisation. A dealer sees the values of the offers/orders within its client. Enquiries are sorted into the different bars according to the status of the enquiry.
In the second tab of the “Offers” menu (“Status”), the number of all enquiries per status can be analysed to check how many enquiries are in each step of the sales process. For example, it is helpful to know how many offers have not yet been confirmed/rejected and need to be followed up.
The third tab, “Origin”, analyses the number of offer enquiries per origin channel.
The fourth tab “Country” can be used to analyse the geographical origin of enquiries. The basis for this is the address of the building project specified in Contacts. Both a pie chart/bar chart and the map can be selected to view. For example, it is easy to determine whether there is still a need for lead campaigns in certain geographical areas.
In the fifth tab, “Users”, you can analyse how many offer enquiries are currently being processed by which users. This allows you to better organise the capacities within your team.
The sixth tab, “Data”, contains the enquiry data on which these analyses are based. An export option is also available here.
Brochures
All enquiries with the enquiry type “Brochure” are evaluated under the menu item “Brochures”. You can analyse the enquiries received by item number and country, then download the data.
Sample
All enquiries with the enquiry type “Sample” are analysed under the menu item “Sample”. You can analyse the enquiries received by item number and country, then download the data.
Note
Analyses are only visible to business units. Finstral has no access to the offer/order details of dealer partners.
