Assign and reject enquiries

In Finstral Contacts, only one person can be responsible for processing an enquiry. If the enquiry is to be processed by another person, you must assign the enquiry to another person. This assignment can also be revoked. The new processor can also reject them him/herself. 

Changes made in the contact data or in notes/documents by others after assignment are shown to the current processor in the system.

Procedure

  1. Using “Assign enquiry” you can search for a suitable person within the Finstral Contacts system and assign an enquiry to him/her for further processing. Following this action, the enquiry status will be “Enquiry assigned”. There are no more options, simply the name of the new processor on the right-hand side.
  2. Using “Cancel assignment” you can cancel the previously confirmed assignment within the Finstral Contacts system.
  3. The new person responsible who has been assigned an enquiry can return the enquiry to the previous person using “Reject enquiry”.
  4. If changes are made to contact details or to notes/files by the previously responsible person following assignment, the new processor is notified of changes to this enquiry in the enquiry list.
  5. If business unit limits are exceeded when using “Assign enquiry”, the new person responsible for the other business unit must first accept/reject the enquiry assigned to him/her before the enquiry can be further processed.

 

Note for external users
If processing is to be carried out by a person who does not (yet) work in the Finstral Contacts system, this is accordingly indicated in the same action and the assignment is carried out by e-mail. In this case, the person processing the enquiry is the system-internal person. The external assignment cannot be reversed. This can only be done once again (new e-mail) or changes can be sent in the contact data using “Communicate changes externally”. As the owner of the enquiry (with type “Offer”), you can then, on behalf of the external processor, document the steps of the external user via “Advisory appointment (external)”, “Offer assignment (external)” and “Order (external)” as shown in black in Finstral Contacts.
